Position Overview

The Administrative Project Manager will support the Office of Legislative and Public Affairs (OLPA) at the National Science Foundation by managing daily administrative operations, coordinating projects, and supporting communications activities. This role requires strong organizational, project coordination, and administrative skills while working in a fast-paced federal environment.

Key Responsibilities

  • Manage day-to-day administrative operations and coordinate internal activities for OLPA.

  • Maintain executive calendars, schedule meetings, and resolve scheduling conflicts.

  • Prepare agendas, presentations, reports, and meeting minutes.

  • Draft professional emails, memos, correspondence, and internal documents.

  • Maintain stakeholder contact lists, distribution lists, and office templates.

  • Accurately enter and track information in databases and tracking systems.

  • Compile daily, weekly, and monthly reports, including social media and web metrics.

  • Assist with processing travel requests, training coordination, and reimbursements.

  • Coordinate interviews, meetings, and panel events with internal staff and external stakeholders.

  • Manage document organization and ensure effective records and document management.

  • Provide analytical support by monitoring and assessing communication metrics to inform strategy.

  • Maintain professional communication with NSF staff, contractors, and stakeholders.

Required Qualifications

Education

  • Bachelor’s degree in Communications, Public Relations, Marketing, Data Analytics, or a related field (preferred).

Experience

  • Minimum 5 years of experience in administrative coordination, project management, or similar roles.

  • At least 5 years of experience preparing reports, presentations, and professional correspondence.

  • Experience managing databases, tracking systems, and administrative documentation.

Required Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Strong project coordination and administrative management skills

  • Excellent written and verbal communication skills

  • Ability to produce professional reports, presentations, and documentation

  • Strong organizational and multitasking abilities in fast-paced environments

  • Familiarity with Plain Writing Act of 2010 and Section 508 compliance requirements

  • Ability to maintain professionalism, diplomacy, and confidentiality when working with stakeholders

Compensation: $60,000.00 - $70,000.00 per year
